Dear Parents and Guardians,
I hope this letter finds you well and happy.
The purpose of this letter is to ask that if you wish to meet with one of our teachers you email ortelephone to make an appointment. I am making this request for several reasons.
The security and wellbeing of all our students is a priority. We expect that all students can confidently trust people on our campus. For reasons of health and safety, we need to be aware of who is on campus at any time. Guards at the gate sign visitors into school; visitors are required to wear badges and sign out when leaving. We ask all visitors to go from the front gate, to Reception, then wait for the appointed meeting time with a teacher. Visitors will then be met in Reception and escorted to a private space.
Recently we have experienced unexpected problems because parents have arrived in teacher offices or classrooms, without appointments. Teachers are then put in a very awkward situation because they want to help parents, but are committed to teaching, and a myriad of other duties. We appreciate there are occasions when it may feel essential to deal with something related to your child immediately. If this is the case, please call and tell us the reason for the urgency. Of course, we will do our best to assist straight away.
Thank you in anticipation of your cooperation. If you have questions about these procedures, please email me at email@example.com.
